PCDOTS Email Converter Usage Guide

Complete walkthrough for loading email data, exporting to multiple formats, and extracting attachments, addresses, and contact numbers. Follow each step in order, or jump to the section you need.

Part 1

Loading email data into PCDOTS

Start by loading your email data into the converter. PCDOTS supports four ways to bring data in: from local email files, from installed desktop email clients, from cloud email accounts, and directly from email servers. Pick whichever matches where your data lives today.

From email data files

For users with PST, MBOX, EML, MSG, OST, OLM, DBX, or other email file formats stored locally.

  1. Open PCDOTS Email Converter

    Launch PCDOTS Email Converter on your Windows system. The application opens with the main converter panel.

  2. Choose your file format

    From the left sidebar, click Open Menu, then select Email Data Files, and pick the specific format you want to load (PST, MBOX, EML, etc.).

    You will see two upload options:

    Files lets you select individual files directly. Folders lets you upload an entire folder containing multiple files.

    After choosing, add files directly from your system using the file browser.

  3. Preview your loaded data

    Once uploaded, the software displays all files and folders in compact view, so you can verify everything loaded correctly before proceeding.

  4. Inspect individual emails

    Click any file to see all the emails it contains. Click on a specific email to view its full content. The preview panel offers five view modes:

    Content, Properties, Message Header, Hex View, and Raw Message. This is useful for forensic verification or when troubleshooting unusual email structures.

  5. Search across loaded emails

    Use the Quick Search option on the right panel to find specific emails by sender, subject, date range, or any text. This is invaluable when working with large mailboxes containing thousands of messages.

From desktop email clients

For users with Thunderbird, Outlook, Apple Mail, eM Client, or other installed email applications.

  1. Open PCDOTS Email Converter

    Launch PCDOTS Email Converter on your Windows system to begin the conversion process.

  2. Select your email client

    From the Open Menu on the left, choose Desktop Email Clients and pick the specific application you use, like Mozilla Thunderbird, eM Client, or Mailbird.

    You will see two ways to load data: configure the account credentials, or browse to the local data files.

    Add the data directly from your system once you have chosen the option.

  3. Preview your loaded data

    Once uploaded, the software shows all files and folders in compact view for easy verification.

  4. Inspect individual emails

    Click any file to see the emails inside. Click an email to view its content with all five preview modes available: Content, Properties, Message Header, Hex View, and Raw Message.

    Use the Quick Search on the right side of the panel to filter emails by sender, subject, or content.

From email accounts

For users with Gmail, Yahoo, Outlook.com, or any IMAP-compatible email service.

  1. Open PCDOTS Email Converter

    Launch the application on Windows to start.

  2. Add your email account

    From the Open Menu, select Email Account and click Add Account.

    Enter your login credentials and click the Add button. For Gmail and other services with two-factor authentication, generate an app-specific password and use that here instead of your regular password.

    App-specific password tip. If your account has 2FA enabled, you must generate an app-specific password from your account security settings. Regular passwords will not authenticate.
  3. Preview your loaded mailbox

    Once authenticated, the software downloads and displays your folders in compact view.

  4. Inspect individual emails

    Click on any folder to see emails. Click an email to view it in any of the five preview modes.

    Use Quick Search on the right side to find specific emails quickly.

From email servers

For users migrating from on-premises servers like Kerio, IceWarp, MDaemon, Zimbra, or other corporate mail servers.

  1. Open PCDOTS Email Converter

    Launch the application on Windows to begin.

  2. Choose your server type

    From the Open Menu, select Email Servers and pick your specific server (Kerio, IceWarp, MDaemon, etc.).

    Choose either to upload data from local server files, or to configure the account directly via server credentials.

    Once uploaded, the software shows all files and folders in compact view.

  4. Inspect individual emails

    Click on files to view emails inside. Each email can be viewed in five different modes for thorough inspection.

Part 2

Exporting emails to your target format

Once your data is loaded, export it to any supported format. PCDOTS supports PST, PDF, MBOX, EML, MSG, HTML, CSV, and direct export to Gmail, Office 365, or any IMAP-compatible service.

Export emails with attachments

Convert your loaded emails to your chosen format, preserving attachments, folder structure, and metadata.

  1. Choose your export format

    From the Export Menu, select your target format. Available options include PST (for Microsoft Outlook), PDF (for archival), MBOX (for Thunderbird and Apple Mail), EML, MSG, HTML, and CSV.

    You can also export directly to Gmail, Office 365, or any IMAP service instead of a local file.

  2. Choose the destination

    After selecting the export format, browse to the destination folder where the converted files should be saved. For network destinations like Gmail or Office 365, you will be prompted to authenticate instead.

  3. Wait for completion

    The export runs and shows progress on screen. When finished, the software displays "Messages have been exported successfully". Click Open Folder to view your converted files.

    Demo limitation. The free demo exports only 10 emails per folder. To export your entire mailbox, activate the licensed version from inside the app.
Part 3

Extracting data from your emails

Beyond format conversion, PCDOTS can pull specific elements out of your emails: attachments, email addresses, phone numbers, or all of them combined. Each extraction saves the result as separate files for easy use.

Extract email attachments

Save all attachments from selected emails as a single folder, preserving original filenames and formats.

  1. Open the Extract Menu

    Click the Extract Menu to see the email metadata that can be extracted individually. Select Email Attachments to download attachments from multiple emails at once.

  2. Choose the destination

    Browse to the folder where extracted attachments should be saved.

  3. Open the results

    When the extraction completes, the software displays a success message. Click Open Folder to view all the extracted attachment files.

Extract email addresses

Pull all email addresses out of your loaded emails into a single text file, including To, Cc, Bcc, and Reply-To headers.

  1. Open the Extract Menu

    Click the Extract Menu and select Email Addresses. This pulls out all email addresses from the loaded emails as a text file.

    Extracted addresses include those from To, Cc, Bcc, Subject, and other email header fields, deduplicated automatically.

  2. Choose the destination

    Pick the location to save the extracted email addresses text file.

  3. Open the results

    When extraction completes, click Open Folder to see the saved file containing all the extracted email addresses.

Extract contact numbers

Find phone numbers buried in email signatures, body text, and headers, then save them as a text file.

  1. Open the Extract Menu

    Click the Extract Menu and choose Phone Numbers. This scans the loaded emails for phone numbers in any format and exports them.

  2. Choose the destination

    Pick the location to save the extracted phone numbers file.

  3. Open the results

    The success message appears within minutes. Click Open Folder to access the file containing all the extracted phone numbers.

Extract associated email addresses and phone numbers

Pull email addresses and phone numbers together as paired records, useful for building contact lists and CRM imports.

  1. Open the Extract Menu

    Click the Extract Menu and select Associated Email Address and Phone Numbers. This extracts both elements paired together for each contact, saved as a text file.

  2. Choose the destination

    Pick the location to save the file with associated email addresses and contact numbers.

  3. Open the results

    The success message appears on the software screen. Click Open Folder to see the extracted email addresses and phone numbers paired together in the destination path.
